Extenteam is currently looking for a highly organized and proactive Property Management Coordinator Assistant to support our team in managing daily operations, project logistics, and vendor/owner relationships. This role requires excellent communication skills, strong multitasking abilities, and a commitment to meeting deadlines while working in a remote environment.
Key Responsibilities:
- Monitor team workflow and delegate assignments to appropriate team members.
- Provide administrative support by implementing policies and procedures, managing conflicts/issues, and organizing projects.
- Organize and prepare correspondence and reports for department heads.
- Schedule and coordinate staff and management meetings, take detailed notes, and organize action items.
- Oversee project logistics and ensure deadlines are met.
- Assist in managing vendor and owner relationships, acting as the main point of contact when necessary.
- Manage workflows and urgent tasks on behalf of department heads during their absence.
- Provide clear, effective communication with both staff and owners to ensure smooth operations
- Serve as the primary source of information, advising team members and owners as needed.
- Maintain and update internal documents, ensuring accurate and current information is available.
- Assist in the interview and training process for new team members.
- Act as a liaison between department heads and team members.
- Monitor and update OTA listings (Airbnb, VRBO), revise CRM entries, and ensure accurate listing information.
Required Skills and Expertise:
- Knowledge of Property Management Software (Bonus for experience with Streamline PMS).
- Proficiency in G Suite (Google Drive, Calendar, Gmail, Sheets) and experience with internal SOPs and property details.
- Familiarity with Microsoft Office, particularly Excel spreadsheets.
- Experience with property operations software (Breezeway experience is a plus).
- Strong communication skills with experience working with stakeholders.
- Excellent writing skills for professional and constructive communication.
Foundational Requirements:
- Fluent in written and verbal English for phone, text, and email communication.
- Strong critical thinking and problem-solving abilities.
- Organizational and multitasking skills, with a focus on detail and exceptional service.
- Ability to work independently in a remote environment.
- Eagerness to learn new software and adapt quickly.
- Willingness to ask questions and seek clarification when needed.
Nice to Have:
- Experience in the vacation rental industry, especially with platforms like Airbnb and VRBO.
TECHNICAL REQUIREMENTS:
- Internet speed minimum 30mbps
- i5 8th Gen or higher
- Windows 10 / MacOS Catalina or higher
- Minimum of 8 GB RAM
- Private and quiet dedicated home office area (no roosters, dogs, children's noises in the background)
- Back-ups in case of power or internet provider interruptions
- Good headset and webcam (preferably noise-canceling headset)
